We Make the Job Easier for Suppliers Too
No need for suppliers to change their workflow if they don't want to, that's why we get a 100% supplier adoption.
With our innovative solution, suppliers gain access to a login-less portal. This means they can effortlessly acknowledge, update, and confirm the shipment of your orders in real-time.
High supplier adoption leads to enhanced collaboration, smoother transactions, and faster order processing.
Do suppliers need to use a portal?
No. Suppliers can simply reply to the PO email with a message, PDF, or Excel file, and Axya reads it. About 45% of suppliers stick to email only, 30% mix email and portal, and 25% use the portal as their main channel. Axya keeps the buyer's view consistent no matter which one a supplier picks.
Can Axya capture confirmations received by email or PDF?
Yes. Axya reads supplier replies in whatever format they come in, email body, PDF, or Excel, and converts them into structured order updates for the buyer to review.
Can Axya manage partial deliveries?
Yes, at the line level. As lines are received, Axya updates their status individually, and the order stays open until every line is received.
How are price, quantity and date changes handled?
When a supplier proposes a change, it's captured and routed to the buyer for review before anything updates in the ERP. For some ERPs, including Epicor, auto-accept rules can be configured for changes that fall within defined parameters/tolerances.
Does Axya automatically update the ERP?
Yes, once a change is confirmed or approved. Sync frequency depends on the ERP; Epicor, for example, syncs every five minutes.
What happens when a supplier does not respond?
Axya sends automated follow-ups. Suppliers are asked to acknowledge orders within 48 hours; if there's still no response, the order is flagged for the buyer as an exception rather than sitting silently in an inbox.
